Start with the first arrival and the next morning, not with a citywide map. A hotel that is central for sightseeing may be inconvenient after a late flight or before an early train. China’s large cities can have several airports and multiple railway stations, so the complete facility name matters.

  1. Pin the exact arrival point. Record the airport terminal or full railway-station name, including its direction word such as North, South, East or West.
  2. Pin the first fixed commitment. This may be a meeting venue, attraction entrance or onward station.
  3. Compare realistic transfers. Check the route at the time of day you expect to travel and allow time for walking, luggage and finding the correct entrance.
  4. Check the neighborhood. Look for a practical route to food, public transport and your first destination, not only a short straight-line distance.
  5. Verify the property identity. Save its Chinese and English name, complete address, telephone number and map pin. Similar hotel names can refer to different branches.

Confirm that the property can complete your check-in

Do not rely on an old forum post or an unlabeled filter. Contact the property through a verified channel and ask whether it can register a guest using your specific travel document. This is especially useful for small properties, remote locations, serviced apartments and bookings made through an unfamiliar platform.

The official accommodation guidance published by Beijing says foreign travelers staying in hotels present a passport, Foreign Permanent Resident ID Card or another valid identity document for registration at reception. The exact document that applies to you should be confirmed before arrival.

Send these questions before paying

  • Can you complete hotel registration with my exact passport or travel-document type?
  • Is reception staffed at my expected arrival time?
  • If I arrive after the normal check-in period, how should I tell you and how long will the room be held?
  • Which payment networks and currencies can the property accept at reception?
  • Is a deposit or payment authorization required, and how is it released?
  • Are taxes, breakfast and any service items included in the displayed total?
  • What is the cancellation or no-show deadline in the property’s local time?

Ask for the answers in the booking platform’s message system or another channel you can save. Do not send a full passport copy to an unverified address. If advance document submission is genuinely required, confirm the recipient and the property’s secure process first.

Make the reservation match every traveler

Enter names as they appear on the travel documents that will be shown at check-in. List every overnight guest when the booking system allows it. A nickname, shortened name or booking made only for the organizer can create avoidable questions at reception.

Before the cancellation deadline, compare the confirmation with your itinerary:

Plan for a late-night arrival

A flight number in the booking notes is not the same as direct confirmation. If arrival will be late, tell the property your estimated reception time, booking number and lead guest name. Ask whether reception will be staffed and whether the room remains guaranteed after the normal check-in period.

Then prepare a route that still works at that hour. Confirm the terminal or station, pickup point, Chinese hotel address and property phone number. Build in time for immigration, baggage, finding transport and traffic. If the arrival is close to the date boundary, check that the reservation starts on the correct calendar date.

What happens at hotel check-in

Keep the original passport or other confirmed identity document accessible, not buried in checked luggage. At reception, provide the booking reference and documents for the guests. Confirm the room type, departure date, included services, payment due and any deposit or authorization before accepting the room.

According to the National Immigration Administration’s 2026 policy interpretation, hotels register foreign guests and submit accommodation-registration information to the local public security authority. That hotel process is distinct from the process for a traveler staying in a private home.

Reception staff may need to inspect or scan the travel document to complete registration. Keep the document in your control and ask when it will be returned if processing takes time. Do not leave it unnecessarily after check-in.

Official Beijing guidance says hotel payment methods may include renminbi cash, bank cards and mobile payments, and advises visitors using overseas cards to ask about network acceptance in advance. This is not a promise that a specific card, wallet or hotel will work.

Before arrival, ask the property which card networks it accepts, whether the physical card must be presented, what currency will be charged and whether a deposit or pre-authorization applies. If you stay somewhere other than a hotel

A private residence, a friend’s home or another non-hotel arrangement has a different registration workflow. The National Immigration Administration states that foreigners staying in domiciles other than hotels—or the people accommodating them—must complete accommodation registration within 24 hours after arrival.

Since March 20, 2026, an online registration service has been piloted in Hebei, Liaoning, Zhejiang, Hubei, Guangxi, Chongqing and Sichuan, with gradual expansion planned. The online submission has the same legal effect as onsite registration, but the official source does not establish nationwide availability. Do not assume the pilot channel works in every city.

Before choosing a non-hotel stay, ask the host which current local process applies, what documents are needed and who will assist. Coordinate hotels on a multi-city trip

Build the hotel plan next to the transport plan rather than in a separate list. For every city, record the arrival facility, hotel, check-in window, next departure facility and transfer time.

How to solve common hotel problems

The hotel cannot find the reservation

Show the confirmation number, property branch, guest name and dates. Check whether the booking uses the lead guest’s name or a platform-generated reference. Contact the booking platform through its official support channel while reception checks direct and third-party systems.

The room or terms do not match the confirmation

Compare the visible confirmation with what was provided and calmly identify the exact difference: bed type, guest count, dates, included breakfast or payment status. Ask the property and platform to record the issue in writing before agreeing to a material change.

Your card is declined

Ask whether the network is accepted and whether the transaction is a payment or authorization. Try the prepared alternative rather than repeating the same transaction many times. Contact the card issuer through its official number if the account appears restricted.

The property cannot process your document

Ask the manager to confirm the reason and contact the booking platform. If the issue cannot be resolved promptly, request written assistance locating an appropriate alternative. Keep receipts and messages, but do not surrender the original passport to an unverified person.

The passport is missing

Check the last controlled location, notify hotel security where appropriate and contact the relevant local authorities and your embassy or consulate through verified channels. Do not rely on a photograph alone as proof that check-in or onward travel will be accepted.

The room has an urgent safety or security problem

Leave the immediate hazard, contact reception or emergency services as appropriate and document the issue only when it is safe. Ask for another room or accommodation when the problem cannot be corrected.
