Canton Fair: First-Time Buyer Guide

Plan your first Canton Fair visit: match products to the right phase, prepare your buyer badge, brief an interpreter and organize supplier follow-up.

A useful first Canton Fair visit starts with a product shortlist, not a flight search. Choose the phase that contains the products you need, prepare your buyer registration, and decide what evidence you want from each booth conversation before filling the day with appointments.

This guide is for first-time overseas trade buyers holding a foreign passport. Official arrangements were checked on October 22, 2026. The date table concerns the 140th Canton Fair in autumn 2026; the planning worksheets are editorial suggestions, not organizer requirements or an account of a client trip.

Choose the product phase before booking

The official Canton Fair website lists three separate exhibition periods. They are not one continuous exhibition with the same products throughout.

140th session phase Official theme 2026 dates
Phase 1 Advanced Manufacturing October 15–19 (already ended at this guide’s source check)
Phase 2 Quality Home Life October 23–27
Phase 3 Better Life October 31–November 4

Use the organizer’s Exhibitors + Products directory and current layout to check your actual product category and shortlisted companies. A broad phase theme is not enough to confirm that a particular product or exhibitor will be present. Record the phase, hall and booth alongside each company, and ask the exhibitor to confirm the appointment.

If you are reading this for a later session, replace the entire date table with that session’s official schedule before making arrangements. For the broader preparation outside the fair itself, use our China business trip planning guide.

Prepare the buyer badge as a separate task

The organizer’s September 26 overseas buyer badge guide lists an original valid identity document, a business card and a pre-registration QR-code receipt. For the foreign-passport reader addressed here, prepare your original valid passport rather than assuming a photo will replace it.

  1. Use the organizer’s official pre-registration service and complete the steps for your own identity category.
  2. Keep the resulting QR-code receipt accessible and check that your details are correct.
  3. Choose a current badge collection location from the official guide and check its service hours before travelling there.
  4. Keep the passport, business card and receipt together for collection.

The guide encourages eligible foreign-passport buyers to use designated alternative registration offices. That does not mean every hotel or airport counter provides the service. Locations and hours appear in the official guide’s images: inspect the current list rather than relying on a hotel name from an older fair. This article does not cover every identity or legacy-badge category; ask the organizer if your situation differs.

Confirm an interpreter’s admission, not just availability

Hiring someone to interpret does not itself settle their access to the exhibition. The official accompanying-personnel notice for the 140th session says the overseas buyer initiates the application, which the organizer reviews. New buyers must complete pre-registration and submit their own buyer-badge application first.

That notice calls for applications at least two days before attendance and distinguishes assistants from interpreters, with additional qualification evidence for interpreters. Check the full notice for eligibility, quotas and current charges before agreeing the arrangement. Do not assume an application has been approved merely because it was submitted.

Once access and scope are settled, share product terminology, units and your priority questions. Our interpreter briefing guide helps define the language work; badge approval and language competence remain separate checks.

Build a shortlist you can actually use on the floor

Create one row per potential conversation. The following fields are a suggested working sheet, not an official fair form:

  • Find the booth: company name, phase, hall, booth and a confirmed contact.
  • Explain your need: product identifier, intended use, key dimensions or other requirements your team has already defined.
  • Ask the decisive question: the missing answer that would determine whether another discussion is worthwhile.
  • Record the evidence: document title, product version or demonstration discussed, rather than “looks good.”
  • Set the next step: the specific information requested, who will respond and what remains unconfirmed.

For example, if two booths discuss similar packaging, label your notes with each company’s name and the exact product reference. “Send the sample we discussed” becomes ambiguous after several conversations. Ask the contact to identify the sample or specification in writing. This is a hypothetical organizational example, not a supplier recommendation.

Group priority booths using the current official layout and leave space for conversations that run long. A booth introduction and a detailed technical discussion are different tasks; agree a later conversation when the right person or material is unavailable.

Keep a factory visit separate from a booth invitation

If an exhibitor suggests visiting a site after the fair, confirm the location, host, date, purpose and return arrangements before changing travel plans. Do not assume the exhibition booth, company office and production site share an address. Our factory visit confirmation checklist covers those practical questions. A hosted visit is not a substitute for a specialist inspection or your team’s supplier assessment.

At the end of each fair day, separate contacts that need a response from those kept only for reference. Use the business meeting follow-up workflow to assign unanswered questions and preserve document versions. If you need travel coordination around confirmed appointments, review our China business visit services and ask whether your cities, dates and requested support can be covered. Do not assume fair registration, interpreter access or any particular service is included.
